This role will support our Safer Recruitment Team and facilitate the efficient operation of vetting procedures. If you excel in administrative tasks, enjoy problem-solving, and can manage sensitive information with care, we would love to hear from you.What We’re Looking ForTo provide a confidential and efficient administrative support of DBS and Safer Recruitment and Child Protection to the Sodexo and AiP Group business.To administer all correspondence relating to applications for the Enhanced DBS Disclosure, including checking information, providing feedback on errors, and signing off applications on the online service.To process DBS checks in an efficient, accurate and timely manner.Handling incoming calls and emails relating to DBS queries and addressing them in an efficient and personable manner – forwarding any complex queries to the Safer Recruitment and Child Protection Coordinator as appropriate, while also logging messages and directly managing inquiries on a daily basis.To provide guidance to Managers on all aspects of DBS, ensuring that the individual is following policy and escalating any concerns or serious issues to the relevant HRBP/Account Manager/Director.To assist in gathering and finalising the Central Register of Appointments for each educational institution within the organisation, offering advice and guidance as needed regarding missing data, errors, overseas checks, and any other necessary information. Each completed Register should be stored in a secure, centralised location within the HR drive, with an updated version for each unit recorded at least once every half term.To maintain all databases and files in line with Audit procedures and GDPR legislation.To provide, in the absence of the Safer Recruitment and Child Protection Coordinator where requested, a copy of the Central Register to clients or their HR representatives for Ofsted / ISI inspection purposes, ensuring in conjunction with the Unit Manager, that the data is accurate and up to date before issue.To undertake self-development and keep up to date on internal policies and procedures, and external employment and related legislation.Specified Child Protection or other project work as directed by the HRBP.To support the Safer Recruitment and Child Protection Coordinator in liaising with the People Centre, Compliance Team and Resourcing Team to ensure compliance of Safer Recruitment documentation for management starters and the Frontline Resourcing Team and Managers with frontline recruitment.To support in requesting references are on file for all management employees.Assisting in maintaining the Safer Recruitment document files electronically for management employees and ensuring copies of documents are sent to the People Centre to upload onto the electronic file management system.To assist the HR Business Partner in identifying process and policy improvements and policy reviews.To support the government schools, AIP and Independent School businesses in TUPE administration activity.What You BringAble to work on own initiative within a team environment.Must be able to demonstrate effective verbal and written communication.Able to demonstrate attention to detail and adherence to standards.Able to demonstrate working knowledge of MS Office (Word, Excel, and Outlook).Strong attention to detail and accuracy in all aspects of the roleKnowledge of GDPR and other compliance standards in handling employee informationWhat We OfferA competitive salary and benefits package.Opportunities for professional growth and development.A supportive and inclusive work environment.The chance to make a difference in operational excellence.What we offer:Working with Sodexo is more than a job; it’s a chance to be part of something greater.
