An opportunity is available for a Team Support Administrator, within the Asset Management & Commercial directorate based in Castle Donington or Bristol. Whilst you’ll provide support as needed across Asset Management & Commercial you will be based within the Future Capability Team (formerly Innovation). The team are investigating how to create the networks of the future, and test ideas to help us achieve Net Zero through a portfolio of innovation projects.  Working with a wide variety of partners at the cutting edge of new technologies and services means that no two days are the same. Reporting to the Head of Future Capability, you will be responsible for general support and assistance for the Future Capability and other teams within the Asset Management & Commercial (AM&C) directorate; each working with Future Capability to provide services today and plan for the future of our networks.  You will also work closely with other team supports who are focusing on the Project Management Office functions and Communications and EngagementAs innovation projects and their deployment involves working with a wide cross section of the business, this position offers the opportunity to develop skills and knowledge that are valued across National Grid Electricity Distribution (NGED). As part of our hybrid working approach this role offers a mix of office and home working. Evidence of your qualifications will be required prior to appointment* The successful candidate may initially be appointed at a lower salary until all relevant training is complete and you can undertake the role in full.About UsWe’re National Grid Electricity Distribution (NGED), the owner and operator behind the electricity distribution systems for the Midlands, the Southwest of England and South Wales. Our vision is to be at the heart of a clean, fair and affordable energy future and we are doing this in a fast-moving industry with an increasing focus on tackling climate change, exploring new energy sources that are renewable, low carbon, and improve efficiency to meet demand.Main ResponsibilitiesResponsibility for reporting activities whether monthly/weekly/annual/ad hoc including;Collate monthly reports for managers to show how Tier 3 and Tier 4 Scorecards are doing monthly and YTDCollate Monthly project updates for Innovation projectsProcessing of “Now and Next” reports for team membersCompilation of monthly / routine reports for the legal teamProvide weekly and monthly reports on Policy library compliance, Community ForumAssisting the PMO Team Support with Regulatory reporting requirements (NIA annual reports, NIA Annual summary, Environmental annual report, Innovation Measurement Framework reporting)Assisting the PMO Team support with innovation strategy updates and reporting to the wider National Grid groupFinance management activities including;Create, manage and receipt PO's under £50kRaise sanctions in CROWNRaise Credit NotesBalance sheet transfers, accruals reporting and cost transfersManagement of timesheet bookings.Assisting the PMO Team Support with year-end financesSupport Meeting & Event related activities including;Organising team meetings, ensuring the booking of locations, refreshments (where applicable), preparation of agendas and recording of minutes.Supporting managers for ad hoc meetings and presentationsManagement of weekly team callsAssisting the Comms Team Support with calls for ideas and the organisation of events such as the Energy Innovation Summit, 26toZero, and Basecamp eventsAd hoc support for team travel and related adminSupporting external visitsGetting updates on actions and chasing action owners before the action due datesSupporting Updates to websites and Comms activities including;Updating the NGED SharePoint site for Future Capability team to disseminate updates about our projects, event information, team information etc. within NGED including updating dashboards and reportsUpdating the NGED SharePoint site for other teams within AM&CUpdating the Future Capability team’s external website to disseminate updates about our projects, event information, team information etc. outside NGEDUploading documents onto the Smarter Networks Portal as required to support registering innovation projects, reporting progress, sharing learning etc. (and onto websites managed by Innovate UK in relation to SIF projects).Supporting CROWN related activities including;Support other members of the team for data analyticsMonitor CROWN prompts and communicate to the team members to ensure prompts are actionedMonitor CROWN reports to ensure training requirements are up to date for the team. This including ensuring Field Checks, CBT’s, SSV’s and PPE checks are arranged and completed on time.Community ForumTrack and manage responses on the community forum. E.g. Check the question hasn’t been asked previously, raise question to the correct Policy Engineer, ensure a response is given and the originator is has received and understands response.Supporting regular team activities including;Routine management of the Future Capability inbox to ensure customer enquiries and third-party proposals are responded to promptlyMonitoring PPE equipment to ensure it is within date and ordering PPE/ stationery and office equipment as required.Organisation of training (supporting the PMO Team Support)New starter preparations / graduate trainee placement preparationsChristmas team holiday co-ordinationManagement of templates / other branding managementStakeholder engagement reportingOther activities to support other teams within the AM&C directorate and tasks appropriate to the grade.The Ideal CandidateThe successful candidate will need be able to communicate effectively both verbally, and in writing, with customers and other team members and represent the company positively at all times.  You’ll also be reliable, well organised, enthusiastic and able to work both as part of a team and independently using your own initiative.  You’ll showcase good time-management skills and the ability to prioritise work effectively. With an eye for detail, you’ll be able to spot errors or poor formatting/quality in documents that will be published.  Very good knowledge of Microsoft Office including Microsoft Excel and Word is needed. Experience of SharePoint and administration of SharePoint pages is preferred. Candidates are expected to have English & Maths GCSE 4-9 (A*-C) or Functional Skills Level 2 qualification in both subjects.This role is subject to a satisfactory Barring Service (DBS) check.  Depending on the role, different levels of screening and vetting are required.
