Key Responsibilities:
* Collaborate with the Bid Manager to write compelling bid copy, format information, and create engaging content that highlights our strengths to prospective clients.
* Assist in project management, including setting key deadlines, building Gantt charts, Excel charts, and PowerPoint presentations.
* Coordinate with colleagues across departments to gather necessary information and inputs for bids.
* Draft responses for Pre-Qualification Questionnaires (PQQ) and other initial submission elements.
* Support the design and development of visually appealing proposal documents.
* Manage day-to-day administrative tasks such as monitoring tender portal alerts, maintaining bid trackers, and updating project trackers.
* Ensure all documents are uploaded correctly on tender portals and maintain structured bid folder systems within the company.
* Prepare and attend scope and debrief calls, bid summary documents, and submission checklists.
* Organise and lead kickoff (KO) meetings, taking detailed notes and tracking key actions and decisions.
* Regularly check tender portal alerts and manage all related communications.
* Proactively manage portal accounts, ensuring all log-in details, alerts, and notifications are up to date.
* Maintain and update Bywaters' Core Information folders and ensure the bid folder structure is organised, including logging client documents, working responses, and final submissions.
* Own and manage bid reporting documents to ensure transparency and accessibility of information.
Essential Skills/Attributes:
* Minimum 1 year of experience in a bid management or similar role.
* Educated to GCSE standard or equivalent, particularly strong in Maths and English.
* Excellent written and oral communication skills, with a proven ability to craft persuasive bid content.
* Strong organisational skills with the ability to manage multiple projects and meet deadlines under pressure.
* Proficient in Microsoft Office Suite and familiar with using tender portals.
* A proactive and creative thinker with a keen eye for detail and a strong customer focus.
