We are seeking a proactive and organised Administrator who will provide an excellent customer experience for patients and professionals contacting the Single Point of Access (SPA) by telephone, by email and by post. You will support the effective filtering and directing of telephone calls and written correspondence for BaNES Children’s Community Services and where required, with partner organisations. 

This is a fantastic opportunity to join our team on a permanent basis working on a part time basis up to 22.5 hours per week. The working pattern for this role is generally Monday to Friday 9-5pm and you will be based at Kempthorne House, St Martin's Hospital with the flexibility for home/hub working after the probationary period.

Main ResponsibilitiesThis is a demanding role requiring high levels of administrative and communication skills and the ability to work proactively as part of a team. 

Responsibilities will include:


Work as a crucial part of a team who answer a high volume of incoming calls from parents and service users
Providing initial screening of all referrals into the Single Point of Access (SPA) from GPs, Service Users, Parents, Carers and other partner organisations
Direct and prioritise incoming referrals to the relevant professionals and remedy any incorrect referrals at source
Work with clinical colleagues to ensure patients are efficiency directed to the correct services in a in line with agreed ways of working
Action call backs to referrers to ensure appropriate information is obtained, ensuring a high-quality referral
Accurately and confidentially record all referrals for service users and carers on various client information systems. 
Signpost to the public with information on HCRG Care Group and alternative services provided by other statutory and voluntary agencies
Collate, book, and send information and appointment letters to patients

The Ideal CandidateOur ideal candidate will have:


Administrative experience in a busy, customer facing environment
High levels of computer literacy – to include a good working knowledge of Microsoft Office packages incusing Outlook, Word, Excel.
Excellent customer services skills and telephone manner
Effective interpersonal and communication skills, both verbal and written
Good planning and organisational skills and ability to meet deadlines
Ability to prioritise and manage workload in busy environment


 

It would also be beneficial if you have previous experience in a Health or Social Care role and knowledge of clinical systems or databases.
