Contract Support AdministratorLocation: GuildfordSalary: £20,000 - £22,000 & range of excellent employee benefitsOnsite – Monday-Friday – Part Time-30 hours per weekSodexo has a great opportunity for an experienced Contract Support Administrator to join our established team working with our clients based in Guildford with occasional travel to the group’s other sites in London, Gloucester and Leeds.Joining our team at their large business management consultancy, you will provide an efficient, confidential, effective and professional administrative support service to the management teams to support the site and regional team for all Hard and Soft service functions, supporting and interfacing with senior managers and clients across the business, in addition to being exposed to confidential information which will require considerable use of judgement, discretion, tact & diplomacy.The Contract Support Administrator will raise PO's using SAP, placing and tracking of all orders, including reactive works and preventative maintenance contracts. Goods Receipting, GRN invoices and POs, recording and gaining sign-off for all invoices (via GSM or site contact), manage open PO CVI tracker and chase suppliers for aged invoices/completed works and process invoices and resolving issues (value, matching, duplication) whilst coordinating and creating monthly client costs, invoices and client invoice back up and maintain full auditable paperwork trails with, for example but not limited to, invoices, material orders and timesheets.You will help support with vendor management, successful ongoing supplier & customer relationships whilst linking suppliers to site accounts when required, assist the GSM in the preparation, production and reporting of the site’s month end accounts & governance meetings,reconcile orders, queries & central charges ready for month end, ensuring all sales and unit expenditure is captured into correct trading month.Seeking ongoing improvements within the area of responsibility and identify any associated training needs, you will act as an ambassador for Sodexo, supporting Health & Safety policy and a Zero Harm mindset culture whilst maintaining a flexible and teamwork approach and perform any other duties that may be required.About YouExperience and knowledge requirement for this role:Proven experience within a similar role, working with an extremely busy team and with very high standards with previous administration experience essentialOrganisational skills are essential to deliver an effective accounts function in a demanding service-orientated environmentExcellent communication, organisational and administration skills, including editing skills and a keen attention to detailWorking knowledge of standard account practices (Sales & Purchase Ledger & Credit Control)Constantly raises the standard and quality of work, benchmarking against best practiceWorking knowledge of E-Prophit Duties will be wide ranging and will require the applicant to manage multiple prioritiesHave worked in an environment where confidentiality is importantKnowledge of UDC payroll and billing & SAPArticulate and thorough, showing attention to detailExcellent numerical and verbal skillsAbility to resilient and adaptableGood standard of general educationAbility to work both independently and as part of a teamPro-active, demonstrating initiative and anticipates needsDemonstrates discretion and ability to deal with confidential issuesProficient with Microsoft office applications (including Outlook, Word, Excel, Publisher, PowerPoint and Visio)What we offerWorking with Sodexo is more than a job; it’s a chance to be part of something greater.
